ICMPD, as the main KOMPLEKS project implementor, collects personal data about the users of the website (“user”) in compliance with the provisions under the General Data Protection Regulation (“GDPR”).

What personal data do we collect?


“Personal data” is any information relating to the user or that we can otherwise link to the user. The personal data we collect includes information provided by the user during contacting ICMPD and the KOMPLEKS project team via the provided channels, such as name, postal address, e-mail address, phone number, job title and professional affiliations.

How do we collect personal data?

We collect personal data that the user voluntarily provides to us, for example when (i) communicating with us via e-mail or other channels, (ii) when signing up for or asking us to send information about or issued by ICMPD and the KOMPLEKS project and its partners and/or (iii) when signing up for an event. In some cases, personal data has been supplemented by information retrieved from other sources, including searches via publicly available search engines, social media and employer’s websites, for the purpose of confirming the user’s current professional position.

How do we use personal data?

We use the personal data we collect for communication purposes and in the legitimate interest of implementing the KOMPLEKS project, including: (i) to send information about or issued by ICMPD and the KOMPLEKS project; (ii) to send invitations to events and conferences; and (iii) to maintain our list of contacts. We do not make personal data available to any third party not affiliated with ICMPD or the KOMPLEKS project.

Why do we process personal data and on what legal basis?

As set out above we process personal data for communication purposes and in the legitimate interest of implementing the KOMPLEKS project. We rely on our legitimate interests in maintaining professional relationships and communicating with the user as a professional contact, about activities and events of ICMPD and the KOMPLEKS project. We consider that our legitimate interests are in compliance with applicable regulations and the user’s legal rights.

Where is personal data stored?

ICMPD is an International Organisation headquartered in Vienna and the KOMPLEKS project website is hosted with an Austrian webhosting provider. All personal data received is processed and stored in the technical infrastructure used by ICMPD in compliance with applicable regulations.

With whom do we share personal data?

In the context of the purposes mentioned above, we may share personal data with third parties, such as implementing project partners. We will ensure that, where relevant, contractual safeguards (data processing agreements) are implemented for the protection of personal data when disclosing it to a third party. As a rule, we do not share personal data as set out above with other parties located in countries outside the European Union, unless there is a legitimate reason for providing data to parties located in such countries. In such cases, measures shall be taken to ensure adequate protection of personal data in accordance with applicable data protection legislation.

How long do we keep personal data?

Personal data will be saved for the specified purposes mentioned above for as long as the user is a professional contact to us. Personal data will be deleted when it is no longer reasonably required for the specified purposes mentioned above or the user withdraws consent, where applicable. Users can contact us at any time if they no longer wish to receive communications and invitations from ICMPD and the KOMPLEKS project, in which case we will cease to send such communication and invitations.

Data Security

ICMPD has implemented appropriate technical and organisational security measures to help protect personal data against loss and to safeguard against access by unauthorised persons.

Website User Rights

User rights are defined by the GDPR and applicable regulations, including the right to request a copy of the personal data we process, to have incorrect personal data corrected, and to have personal data deleted, where applicable.
